Membership and Volunteer Coordinator

Position:                  Membership and Volunteer Coordinator

Hours:                      40 hours per week

Salary:                      Negotiable

Classification under Wage and Hour Regulations:  Exempt

General Description:

Plan, organize, and manage all membership campaigns to meet the annual operating budget goals and advance the institutional mission and vision. Responsible for strategically driving patron development to meet fundraiser goals.  Manage the acquisition and retention programs of the museum’s membership program. Responsible for the maintenance of Raiser’s Edge and TAM database and overall ticketing systems. Oversee Volunteer program.

Membership:

  1. Work to gain participation in the annual membership campaigns and garner financial support.
  2. Solicit additional or contributed support in addition to general membership dues through cultivation cycles, including renewal letters, emails, and phone calls.
  3. Acquire new members through multi-channel marketing, including targeted events and receptions.
  4. Manage new member welcome and lapsed member phone/email program to welcome new members and encourage lapsed members to renew.
  5. Continually evaluate and improve membership benefits program.
  6. Communicate member benefits through the OMA e-news and membership packets and website.
  7. Review and recommend updates for the membership section of the OMA website and communications.
  8. Maintain and update membership marketing materials by working with the Marketing Coordinator and outside marketing firms.
  9. Maintain the membership handbook.
  10. Attend member receptions and annual members’ meetings to promote and increase awareness of membership initiatives.
  11. Arrange mailing lists for exhibition reception invites and calendar mailing for the marketing department.

Annual United Arts Collaborative Campaign and OMA Year-End Campaign:

  1. Serve as the museum’s coordinator for the United Arts Collaborative Campaign and OMA Year-End Campaign by identifying, scheduling, and organizing annual campaigns.
  2. Ensure that the sequence of letters for the campaigns are properly written and organized to meet and exceed the campaign goals.
  3. Maintain communication with OMA staff and United Arts staff to ensure gifts, pledge forms, recognition, etc. are accurately recorded and reported.
  4. Accurately maintain record of all campaign gifts in Raiser’s Edge as well as be able to pull reports as needed
  5. Produce acknowledgment forms alongside the Executive Director and Director of Donor and Corporate Relations for all campaign gifts.

Database Management Duties:

  1. Maintain a policies and procedures manual for Raiser’s Edge
  2. Point-person responsible for managing the Raiser’s Edge database.
  3. Perform data and table clean-up where necessary.
  4. Maintain and manage the current membership database utilizing Blackbaud for Raiser’s Edge ensuring data integrity; use Raiser’s Edge to track membership appeals to evaluate renewals more effectively.
  5. Manage box office ticketing system and ensure data sync between TAM and Raiser’s Edge is correct.
  6. Maintain donor tracking, pledge fulfillment and effectiveness of individual solicitation strategies.
  7. Generate monthly member acquisition, retention, and statistical reports, etc. as needed and submit to the Director and the Chief Operating Officer.

General Volunteer Coordinator

  1. Manage the museum volunteer program by processing volunteer applications, updating the volunteer e-mail list in MailChimp, sending volunteer e-news communications, and scheduling volunteers for special events and summer camps.
    1. Manage database of volunteer hours within Raiser’s Edge.

Academic and Business Requirements:

Bachelor’s degree required. Three years of sales experience, preferably with a membership-based organization.

Specific Skills and Abilities:

Detail-oriented with the ability to communicate persuasively both orally and in writing. Ability to project pleasant personality, enthusiasm, thoughtfulness, and efficiency while furthering Museum goals.  Must be able to deal with staff, the public, donors, Members, and volunteers in a tactful and courteous manner.  Must demonstrate initiative and be a self-starter. Proficient computer and office skills.  Demonstrate complete confidentiality relating to Members and donor information.  Plan effectively to meet deadlines and sales goals. Must be multiple-task-oriented with excellent organizational skills.

Temperament:

Projects a pleasant personality with confidence and efficiency while dealing with people in person or on the phone. Well-organized with the ability to set priorities and execute tasks in a timely manner. Detail-oriented, accurate, and a self-starter. Professional demeanor and appearance.

Work Environment: Office Setting, minimal physical exertion (Typing, sitting, standing, walking).
