Hours
40 hours per week, 8:00 AM - 5:00 PM, Monday - Friday

Salary
Negotiable

Benefits

General Description
Serves as the administrative assistant the Director and as a liaison to the Museum staff as well as to the Museum’s Board of Trustees.  Performs full range of executive administrative duties.

Essential Duties and Responsibilities

1. Serve as the administrative assistant to the Director and as a liaison to the Board of Trustees:

  • Organize and maintain all electronic and hard files connected to the Director’s office.

  • Compose, assemble, email, and/or mail agenda materials for Trustees meetings including all Board sub-committee meeting.

  • Correspond with Trustees on a regular basis to keep them up to date on Museum activities and for various assignment.

  • Coordinate attendance quotas and work orders for Committee meetings.


2. Serve as the administrative liaison between the Director and the staff: 

  • Route information (mail, memoranda, messages, etc.) between the Director and the staff
  • Coordinate Department Head meetings and Full Staff meetings, including timely work orders
  • Organize Institutional Volume of Department Manuals for each Department


Training and Experience Required:
Preferred: College graduate (AA minimum) with experience serving as an assistant or related comparable work experience.

Skills Required:
Proficient in Microsoft Suite (Word, Excel and Access, PowerPoint, etc). Excellent typing skills; Basic accounting skills; Ability to produce proper format for typewritten materials from rough drafts; Ability to operate the computer, fax machine, copier, and postage meter, and to instruct others in their operation; High level of skill using the Internet and mail. Social media knowledge and skills. Excellent grammar, spelling, and letter writing skills. Notary Public a plus.
