JOB DESCRIPTION
Position: Staff Accountant
Hours: 40 hours per week
Salary: Negotiable

Reports to: Chief Operating Officer
Classification under Wage and Hour Regulations: Non-Exempt
General description:
Responsible for maintenance of subsidiary ledger and processing of Accounts Payable and assistance with routine accounting tasks and projects.
Specific Tasks:
Accounts Payable Tasks:
- Ascertain that all invoices submitted for payment are properly approved, have appropriate back-up and codes for expenditure and project codes appear reasonable.
- Enter accounts payable invoices into Blackbaud.
- Print and prepare checks for signature(s) and mail checks to vendors with appropriate documentation.
- Daily review of cash balances to ensure adequate cash on hand to timely pay invoices.
- Prepare and maintain vendor files including unpaid invoices and paid invoice files.
- Maintain W-9, certificate of insurance (COI) and contract labor files.
- Prepare and mail yearly 1099s.
- Maintain account payable subsidiary ledger and reconcile balance to general ledger account.
- Invoice employees for personal postage and phone charges.
Accounting Tasks:
- Prepare and maintain a Prepaid Expense Schedule including recording monthly journal entry for expired prepayments.
- Prepare monthly copier, bulk mail and postage journal entries.
- Bank reconciliation of operating and capital checking accounts , including reconciling accounts to the general ledger and preparing and entering applicable journal entries.
- Review or prepare monthly accounting schedules.
- Prepare and post journal entries, including journal entry support.
- Review or prepare reports for fund raising events, grants and other programs or events.
- Credit card reconciliation and processing of monthly journal entry.
- Assist in preparation of the financial portions of required grant applications and reports.
- Assist in preparation of annual operating budgets.
- Assist with year-end closing procedures.
- Assist with preparation of work papers and schedules for Form 990 tax return.
- Prepare annual personal property tax return.
- Assist in preparation of audit work papers and with other information for annual audit.
- Maintain accounting files.
- Back up to Employee Relations on deposits and reconciliation of daily ticket and shop sales during scheduled time off.
Museum Shop:
- Assist Chief Operating Officer with overseeing the Museum Shop budget and cost/revenue strategies.
- Assist Chief Operating Officer with insuring inventory is maintained at a reasonable level. Perform monthly inventory reconciliation.
Other Tasks:
- Open and dispense daily mail. Process all payments received through the POS.
- Receive office supply requisitions and place orders for workroom and all other departments.
- Track and replenish both postage meter and bulk mail accounts.
- Responsible for department petty cash. Disburse, maintain integrity of balance, and reimburse as necessary.
- Provide administrative and clerical support to COO.
- Assist with check in and other day of event front of house tasks during special events.
- Other duties as assigned.
Academic and Business Requirements:
Bachelors Degree in Accounting or Associates Degree in accounting with minimum of five years previous nonprofit accounting experience will be considered.
Specific Skills and Abilities:
Proficiency in Microsoft Office including Excel. Good communication and organizational skills.
Temperament:
Enjoys working with people. Self-starter, conscientious, positive attitude, and ability to work well under pressure. Detail-oriented, accurate and efficient. Diplomatic skills to interface with staff, vendors, auditors, and bank personnel.
Work Environment: Office Setting, minimal physical exertion (Typing, sitting, standing, walking).
